Written specifications, always
Every order runs against a written specification that both sides hold. Verbal agreement on grade or size is not accepted - it is the single most common cause of dispute in this trade.
With a cleaning product the paperwork travels with the goods. A missing safety data sheet, or a label claim the destination market does not allow, is a pallet sitting at a port. This is how we avoid that.
Documentation
The exact set depends on the product class and your market. Anything listed here can be confirmed before you commit to an order.
| Document | Applies to | Purpose |
|---|---|---|
| Commercial invoice & packing list | Every shipment | Customs valuation and content verification |
| Bill of lading or air waybill | Every shipment | Title and release of goods at destination |
| Certificate of origin | Every shipment | Duty assessment and preferential tariff claims |
| Manufacturer quality certification | Every production batch | Evidence of a controlled manufacturing system |
| Product technical file or dossier | Regulated device lines | Supports your import filing and retailer onboarding |
| Certificate of analysis or conformity | Batch-controlled lines | Batch-level confirmation against specification |
| Safety data sheet | Disinfectants, antiseptics, chemicals | Transport classification and workplace safety |
| Free sale or export certificate | Where the destination requires it | Confirms the product is sold in the country of origin |
| Label artwork proofs | Private label and localised packs | Approval record before production |
Supplier control
Two things to control: what comes off our own line at Taloja, and what we buy in from partner manufacturers. The checks below apply to both.
Production runs to a documented specification, with in-process checks at the stages that determine how the finished cleaner performs. Raw materials are accepted against their own specifications before they go anywhere near a batch.
Retained samples are assessed against the written specification - appearance, fragrance, pH and fill volume - and kept so a later query can be checked against what actually shipped.
What you are quoted becomes the specification of record. Substitutions are not made without your written agreement, even when a manufacturer offers an equivalent.
Quantity, carton markings, batch and expiry coding and label accuracy are checked before loading. Third-party inspection can be arranged where your market or your own policy requires it.
Batch numbers are recorded against each consignment so that any quality query, or a manufacturer field action, can be traced to the exact goods you received.
Complaints and returns are logged against the line that produced them, ours included. On bought-in lines, repeat findings cost a partner their place on the list; on our own, they change how we run the process.
Our own standards
Every order runs against a written specification that both sides hold. Verbal agreement on grade or size is not accepted - it is the single most common cause of dispute in this trade.
If a manufacturer cannot supply the agreed item, we come to you with the alternative and its documentation. We do not ship a substitute and explain afterwards.
Regulatory questions are settled before goods are made, not after they are packed. It is slower at the start and much faster at the border.
Where goods arrive outside specification we own the problem - on our own lines directly, and on bought-in lines by taking it up with the partner manufacturer on your behalf. Either way you agree the remedy with us, not with a factory you have never met.
Tell us the lines and the destination market, and we will confirm exactly which certificates and files are available for each item.
